Clothing budget for an association: how much to plan per member?

Getting your association's outfit ready for the season? This guide works out what it costs per member, from a t-shirt on its own to a t-shirt with a hoodie or a cap, for 10, 25 or 50 members, and explains what pushes the bill up.

Custom association t-shirt for volunteers: a volunteer in a sun yellow t-shirt and cap, with a TKNP logo screen printed on the chest in a darker yellow, carries a crate of apples to a food bank van.

Clothing budget for an association: how much to plan per member?

Dressing a member in the association's colours costs, on our product pages of 27 October 2026, from €8.49 excl. VAT (t-shirt only) to €38.70 excl. VAT (t-shirt, hoodie and cap), decoration included, for guidance only. The amount depends mostly on the number of members, from 10 to 50.

In short, for the committee drawing up the budget:

  • Three unisex garments from our selection for associations serve as the example: the Crafter t-shirt, the College Hoodie and the Original 5 Panel Cap.
  • The more members the association has, the lower the price of each garment: each of the three product pages lists its prices by quantity, from the first tier of 10 up to 1,000.
  • The minimum: from 10 of the same reference for a decorated garment.
  • To have each member pay for their own outfit, the pre-order on the tknp.io Store is built for exactly that.

A t-shirt the volunteers wear during their actions, a hoodie the members keep on all winter, a cap for sunny days: an association's outfit gets noticed, and it makes people want to join the group. Before ordering it, the treasurer always asks the same question: how much per person?

This guide answers it for one season, with three outfits priced for 10, 25 and 50 members, then the four settings that push the bill up or down and the ways to fund it. It works for a neighbourhood association as well as a sports club, a student society or a group of volunteers launching its first merch.

How much to plan per member for an association's outfit?

For one season, plan per member between €8.49 and €11.59 excl. VAT for a t-shirt on its own, between €15.74 and €19.65 for a t-shirt and a cap, and between €24.06 and €30.64 for a t-shirt and a hoodie: the low end of each range applies to 50 members, the high end to 10.

One rule covers every figure in this guide, unless stated otherwise: each price is that of a run of one model carrying a single logo at one spot, at the public price on the product page, with no discount. Here is the detail, worked out on 27 October 2026 from three tknp.io product pages: the t-shirt and the hoodie printed with an A6-format DTF transfer, the cap embroidered at 8 × 10 cm.

Price per member excl. VAT, decorated garments10 members25 members50 members

T-shirt and cap€19.65€16.84€15.74
T-shirt and hoodie€30.64€26.07€24.06

Prices read on 27 October 2026 on tknp.io and given for guidance only: excluding VAT, garment and decoration included, one position per garment, at the standard lead time, in each page's base colour and in the usual sizes, with shipping added in the basket. Each member gets one of each garment, and each model makes up its own run of 10, 25 or 50.

The three garments in the example

The three models come from our "The essentials" selection for associations, and their product pages describe all three as unisex: one reference per garment therefore fits everyone.

The garment (tknp.io product page)What the page saysSizes
Crafter, Stanley/Stella t-shirtcombed organic cotton, 155 g/m², Fair Wear Foundation, GOTS and OEKO-TEX listedXXS to 5XL
College Hoodie, hooded sweatshirt by Just Hoodslined hood, kangaroo pocket, 280 g/m², mostly cotton (80%) with 20% polyesterXS to 5XL
Original 5 Panel Cap, Beechfield capcotton twill, five panels, 58 cm head circumference adjusted by a Rip-Strip fasteningone size

The weight and composition of the College Hoodie and the weight of the Crafter are those shown in our Association selection. The Crafter's labels cover the blank garment the way the brand produces it; they say nothing about the print or embroidery added afterwards.

How much does an association t-shirt cost per member?

The t-shirt budget for an association is €11.59 excl. VAT per member for 10 members, €9.38 for 25 and €8.49 for 50, with the Stanley/Stella Crafter and an A6 DTF transfer. For the whole association, that comes to €115.90 excl. VAT for 10, €234.50 excl. VAT for 25 and €424.50 excl. VAT for 50: tknp.io prices noted on 27 October 2026 at the standard lead time and given for guidance only, in the base colours, in the usual sizes, shipping on top.

This is the minimum outfit, the one that is enough to spot the volunteers at a stand, a collection drive or a race. If your association has 30 members, the page has no tier at 30: you pay the price shown for 25. Our guide to the volume price of a t-shirt explains how to read these tiers.

T-shirt and hoodie: the budget for a whole-season outfit

A t-shirt and a hoodie come to €30.64 excl. VAT per member for 10 members, €26.07 for 25 and €24.06 for 50: the Crafter and the College Hoodie, each with an A6 DTF transfer. The whole association spends €306.40 excl. VAT for 10, €651.75 excl. VAT for 25 and €1,203.00 excl. VAT for 50, according to tknp.io prices read on 27 October 2026, for guidance only and on the terms of the first table.

The hoodie weighs most in this budget: €19.05 excl. VAT for 10, €16.69 for 25 and €15.57 for 50, close to two thirds of the outfit per member. If your association is a student year group wanting an embroidered hoodie, see what a class sweatshirt costs instead.

T-shirt and cap: the outfit for an action or an event

A t-shirt and a cap cost €19.65 excl. VAT per member for 10 members, €16.84 for 25 and €15.74 for 50: the Crafter with an A6 DTF transfer and the Original 5 Panel Cap embroidered at 8 × 10 cm, the only technique its page offers online. The total reaches €196.50 excl. VAT for 10, €421.00 excl. VAT for 25 and €787.00 excl. VAT for 50: tknp.io prices of 27 October 2026, for guidance only, on the terms of the first table.

This outfit suits associations that work outdoors in summer: a collection drive, a street party, a tournament, a festival run by volunteers. Its one-size cap also saves you from measuring each person's head.

What changes an association's clothing budget

Four settings move the budget per member: the decoration technique, the number of placements, the chosen model, then the lead time, the colour and the size. The prices below come from tknp.io product pages, noted on 27 October 2026; they exclude VAT, are given for guidance only and follow the same terms as the first table.

The decoration technique

The technique changes the price mostly for small runs. On the Crafter, a screen-printed one-colour logo comes to €20.07 excl. VAT for 10 and €11.74 for 25, while the A6 DTF transfer costs €11.59 and €9.38; at 50, both lines on the page show €8.49. On the College Hoodie, here are the three techniques sold online.

Decorated garment price, excl. VAT102550
Crafter, A6 DTF transfer€11.59€9.38€8.49
Crafter, one-colour screen printing€20.07€11.74€8.49
Crafter, 8 × 10 cm embroidery€11.60€10.81€10.49
College Hoodie, A6 DTF transfer€19.05€16.69€15.57
College Hoodie, one-colour screen printing€27.53€19.05€15.57
College Hoodie, 8 × 10 cm embroidery€19.06€18.12€17.57

The Crafter's page also sells embroidery online, but on this 155 g/m² t-shirt we would rather advise it on a thicker t-shirt. The budget for an association's embroidered t-shirts, from 10 to 50, has its own guide.

The number of placements

Each extra placement is paid on top: all our prices cover a single position, and our page on decoration techniques says it plainly: each placement, chest, back, sleeve or nape, "is counted and priced separately". A logo on the chest and a large back print therefore make two decorations on each garment. Our advice: no more than two placements, and a single technique per garment.

The model

For the same technique and quantity, the model moves the price: on our product pages read on 27 October 2026, for a run of 25 with the same A6 DTF transfer, the B&C #E190 Men, 185 g/m² cotton, costs €6.24 excl. VAT each; the Crafter, €9.38; the Creator 2.0 by Stanley/Stella, in 180 g/m² organic cotton, €10.39, for guidance only and on the terms of the first table. The #E190 Men is a men's cut, while the Crafter and the Creator 2.0 are unisex.

The lead time, the colour and the size

The production lead time is chosen at checkout and has a price: according to our FAQ, customisation takes 10 working days at the base rate, 5 days with a 10% surcharge, or 20 days with a 5% reduction. On the Crafter and College Hoodie pages, a note also flags a small surcharge on a few colours and on the biggest sizes, visible as soon as you select them. A budget worked out to the cent should therefore keep a small margin for these cases. For embroidery, our guide to embroidery cost also details what a colour, a large size, a short lead time or a second logo adds to the price.

How to fund the members' outfit?

There are three ways to pay for the outfit, each covered in its own guide:

  • The pre-order. On our Store, which we reserve for verified organisations, a 7 to 21 day campaign lets each member reserve and pay for their outfit before production; the method is in our guide to running a t-shirt pre-order.
  • Selling to members, with a margin. When members pay a little more than the t-shirt costs, the difference funds the association: the calculation is in what an association's t-shirt sale brings in.
  • The grant. For a sports club, our guide to grants for a sports club explains what public funding agrees to pay for.

An association outfit that grows from one season to the next

Nothing forces you to order the whole outfit in the first year. In the tknp.io designer, you place the association's logo on the t-shirt, the hoodie or the cap and see the result with the price, decoration included, before paying anything.

Each garment you design then stays in "My products", the space in your pro account, which our FAQ describes as free. In the first season, the association orders its t-shirts; in the next, it adds the hoodie or the cap with the same logo, starting again from that space. The outfit budget is spread over two seasons that way, and each new garment goes into a run online, starting at 10 of the model.

FAQ

Frequently asked questions

How much does a full outfit with a t-shirt, hoodie and cap cost?

A full outfit, the Crafter t-shirt and the College Hoodie with an A6 DTF transfer plus the Original 5 Panel Cap embroidered at 8 × 10 cm, comes to €38.70 excl. VAT per member for 10 members, €33.53 for 25 and €31.31 for 50, which is €387.00, €838.25 and €1,565.50 excl. VAT for the association. tknp.io prices read on 27 October 2026, for guidance only: one run per model, a single logo in one position, standard lead time, base colours, usual sizes, shipping extra.

Do the prices of an association outfit include VAT?

No: the decorated garment prices quoted here, those of the Crafter, the College Hoodie and the Original 5 Panel Cap read on 27 October 2026, exclude VAT, and our product pages give them before shipping and VAT. On the French page of the Original 5 Panel Cap, for example, the blank cap shows at €3.13 excl. VAT, or €3.76 including VAT.

Do all members need the same colour?

No: on the tknp.io pages of the Crafter, the College Hoodie and the Original 5 Panel Cap, the same garment can be ordered in several colours with the same decoration, and the tier is then worked out on the total quantity. The minimum of 10 per reference, sizes and colours mixed, is set out in our article on company orders.
